Pansoft respects your privacy. This Privacy Policy explains what personal information we collect through www.pansoft-tech.com (the "Website"), how we use it, who we share it with, and the choices and rights you have.

Pansoft operates as a group with offices in India, the United Arab Emirates, the Kingdom of Saudi Arabia, Qatar, the United Kingdom and the United States. Our group companies are:

2. Scope of this policy

This policy applies to personal information we collect when you visit the Website, submit an enquiry, apply for a job, subscribe to updates or otherwise contact us through the Website. It does not cover information we process when delivering Oracle, cloud, security, identity and access management, managed services, analytics or Ellucian services to our clients. That processing is governed by the contracts we have with those clients.

3. Information we collect

Information you give us

Enquiries: your name, email address, contact number, company, country, the service you are interested in, and any comments you share through our Contact Us form.
Job applications: your name, contact details, CV or resume, cover letter, work history, education, qualifications, the role you are applying for, and any other information you choose to include in your application.
Correspondence: information you share when you email us, call us or communicate with us in any other way.

Information we collect automatically

When you visit the Website, we and our analytics provider collect certain technical information, such as your IP address (shortened before storage where possible), browser type, device type, operating system, approximate location (city or country level), referring website, pages viewed, time spent on pages, and the date and time of your visit. See section 6 for details on cookies.

We do not knowingly collect sensitive personal information (such as health, religious or biometric data) through the Website. Please do not include such information in forms or applications unless it is required for a specific role and we have asked for it.

We do not sell your personal information, and we do not use it for automated decision making that produces legal or similarly significant effects on you.

5. Job applicants

If you apply for a role through our Careers page, your application will be reviewed by our HR team and the hiring managers for the relevant role, who may be located in any of our group companies. We may contact you to arrange interviews, verify the information you provided, or contact references you have named.

If your application is unsuccessful, we will keep your information for up to 12 months so that we can consider you for other suitable roles, unless you ask us to delete it sooner. If you are hired, your information will become part of your employee record and will be handled under our internal employee privacy notice.

6. Cookies and analytics

Cookies are small text files stored on your device when you visit a website. We use:

Strictly necessary cookies: required for the Website to function, such as remembering your cookie preferences and protecting forms from spam. These cannot be switched off.
Analytics cookies: we use Google Analytics 4, deployed through Google Tag Manager, to understand how visitors find and use the Website. Google Analytics collects information such as pages visited, time on site and approximate location. Google processes this data on our behalf. You can learn more in Google's privacy policy and opt out using the Google Analytics opt-out browser add-on.

Where the law requires your consent (for example, for visitors in the UK and the European Economic Area), analytics cookies are only set after you accept them through our cookie banner. You can change your choice at any time through the cookie settings link in the Website footer, or by clearing or blocking cookies in your browser settings. 7. Who we share your information with

We share personal information only where needed for the purposes described above:

Pansoft group companies, so that the office best placed to help you can respond to your enquiry or assess your application.
Service providers who act on our instructions, including our website hosting and form provider (Webflow, Inc.), analytics provider (Google LLC), email and IT service providers, and recruitment tools.
Professional advisers, such as lawyers, auditors and insurers, where reasonably necessary.
Authorities and other parties where required by law, regulation, court order or to protect the rights, property or safety of Pansoft, our clients or others.
A buyer or successor in the event of a merger, acquisition, reorganisation or sale of all or part of our business.

Our service providers are bound by contract to keep your information confidential and to use it only to provide services to us.

8. International transfers

Because we operate across several countries and use service providers based in different regions (including the United States), your personal information may be transferred to and stored in countries other than the one where you live. These countries may have data protection laws that differ from yours.

When we transfer personal information, we take steps to make sure it remains protected as required by applicable law. This includes using contractual safeguards such as standard contractual clauses approved by the relevant authorities, intra-group data transfer agreements, and transferring data only to providers with appropriate security measures.

9. How long we keep your information

We keep personal information only for as long as we need it for the purposes it was collected for, or as required by law:

Enquiries and correspondence: up to 24 months after our last interaction, unless you become a client, in which case client contract records apply.
Unsuccessful job applications: up to 12 months after the recruitment process ends.
Analytics data: up to 14 months, in line with our Google Analytics data retention setting.
Marketing preferences: until you unsubscribe, after which we keep a record of your opt-out so we do not contact you again.

When information is no longer needed, we delete or anonymise it securely.

10. How we protect your information

We use appropriate technical and organisational measures to protect personal information against unauthorised access, loss, misuse or alteration. These include encrypted connections (HTTPS), access controls limited to staff who need the information, and security commitments from our service providers. No method of transmission over the internet is completely secure, so we cannot guarantee absolute security.

11. Your rights

Depending on where you live and the laws that apply to you, you may have the right to:

Regional information

United Arab Emirates: we process personal information in accordance with Federal Decree-Law No. 45 of 2021 on the Protection of Personal Data.
United Kingdom and European Economic Area: you have the rights set out above under the UK GDPR, the Data Protection Act 2018 and the EU General Data Protection Regulation. You can complain to the UK Information Commissioner's Office (ico.org.uk) or your local supervisory authority.
India: we process digital personal data in accordance with the Digital Personal Data Protection Act, 2023. You may also nominate another person to exercise your rights in the event of your death or incapacity.
Kingdom of Saudi Arabia: we process personal data in accordance with the Personal Data Protection Law and its Implementing Regulations.
Qatar: we process personal data in accordance with Law No. 13 of 2016 on Personal Data Privacy Protection.
United States: we do not sell or share personal information for cross-context behavioural advertising. Residents of states with consumer privacy laws, such as California, may request access to, correction of, or deletion of their personal information using the contact details above. We will not discriminate against you for exercising these rights.

12. Children's privacy

The Website is intended for businesses and professionals. It is not directed at anyone under 18, and we do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us and we will delete it.

13. Links to other websites

The Website may contain links to third party websites, such as Oracle, Ellucian or social media platforms. We are not responsible for the privacy practices of those websites, and we encourage you to read their privacy policies.

14. Changes to this policy

We may update this Privacy Policy from time to time to reflect changes in our practices or the law. The updated version will be posted on this page with a new effective date. Where changes are significant, we will take reasonable steps to let you know.
